The Challenge

SUMED - the Petroleum Pipe Line company- had a major problem in managing its ever-increasing documents. They had different types of documents; piping plans and piping infrastructure, contracts, personnel documents, board of directors documents, … etc, Some of their documents were stored on Microfilm, other in papers and others electronically. Due to huge consumption of space and the slow document retrieval process, they detected the need for electronic document management system.

The Solution

ASSET has been awarded taking this project to design SUMED’s document management strategy and implement the system. Initially ASSET consultants studied the document types, nature, security considerations as well as retrieval requirements. Based on this, they put together the strategy for document archival, organization, data entry and retrieval. Having the strategy put in place, the consultants also sized the project and studied the hardware and software requirements. ASSET was responsible for managing the overall project implementation. Besides, we managed the conversion of over 4 million documents of their backlog which involved conversion of paper and microfilm documents.

The Results

After making the necessary backlog conversion and using ASSET’s document management system, SUMED is now working smoothly having more than 40 concurrent users accessing data information electronically and instantaneously.
